Who’s allowed in? Is there a guest list, ticketing, or open entry? Events with uncontrolled entry need more staff dedicated purely to access points, bag checks, and ID verification. This is one of the most commonly underestimated needs — organizers often plan for “security at the gate” without thinking through what happens when 200 people arrive in the same 15-minute window.

3. Emergency and evacuation planning

Every venue needs a clear evacuation plan, and event security staff need to know it cold — not read it off a sheet during an actual emergency. Ask your security provider if they walk the venue beforehand and brief staff on exits, assembly points, and emergency contacts.

4. VIP or high-profile guest handling

If your event involves VIP guests, this needs dedicated personal security officers, not just general event staff stretched thin. Mixing VIP protection duties with general crowd management usually means neither gets done well.

5. Coordination with venue staff and local authorities

For larger events, your security team should be coordinating with venue management and, where required, local police — not operating as an isolated unit. Ask your provider how they handle this coordination, especially for outdoor or public events requiring permissions.

6. Post-event wrap-up

Security responsibility doesn’t end when the last guest leaves. Make sure there’s a plan for securing the venue during breakdown, especially if valuable equipment or cash counters are involved.
